4 ways to brand your emails with Email for Trello

Stand out in your customer’s inbox by using your brand to your best advantage. Here are 4 quick wins to help you put your best branding foot forward!

1. Use a custom email address

Sending from a custom email address is one of the easiest ways to boost trust and recognition! Put your company name front and center so that your customers can instantly spot your incoming emails.

On the Email for Trello Essential plan, you can set up a custom email address by entering your own email address and following the instructions to update your domain settings. Our help article about custom email addresses shows you how to do this.

For all Free plan users, emails are sent from their board address and are always appended with ‘sendboard.com’. So their customers will see an email address that looks something like this – hello@example.sendboard.com. 

But free users still have some customization options! You can change the words either side of the @ symbol to best represent your business. For example, if you were manager at Pet Cuts, you might like to have hello@petcuts.sendboard.com as your free board address. 

2. Insert an email signature

Your email signature is a small space that makes a big impact! Include your company logo, brand colors and fonts to make the most of this branding opportunity.

3. Maintain consistency with Saved Replies

Tone of voice is just as important as consistent visual style! Standardize communications across your team with templated responses to common queries. It’s a reliable way to make sure your team is saying the same thing, in the same way.

Instead of wasting team time by typing out a response for each email – and potentially giving different customers conflicting information – a Saved Reply is a quick and effective way to get the right information across. Saved Replies are available on Email for Trello’s Pro plan. Spending a bit of time creating a handful of useful templates for things like price queries or booking requests can eliminate errors and save time in the long run! Plus, it really helps to create a coherent brand experience by making sure that every customer is getting the same advice and level of service from every interaction.

4. Add personality with variables

Standardization doesn’t need to make your emails unapproachable! After all, it can be reassuring for customers to know there’s a real person on the other side of the screen.

Including the sender’s name in the email signature is a great way to add a personal touch. But of course when you have lots of team members working on the same shared email inbox, you might not always know who’s going to be replying to the email. Here’s where variables can help you!

To include the sender’s name in your email signature, insert the variable {%userFullname%}. It will automatically populate with the first and last name of the Trello user who is sending the email.
