Parties
Email for Trello (herein “Email for Trello”) is a product of SendBoard (a division of Codeo BV, the Netherlands). When we refer to "SendBoard", "we", “our” or "us" in this Privacy Policy, we mean Codeo BV and its affiliated companies. When we refer to you, the user of Email for Trello and the Services, we refer to you as the “User", "you" or “your”, as appropriate.
Agreement
This Privacy Policy is an agreement that is applicable to your use of Email for Trello and the Email for Trello Power-Up and it determines how SendBoard uses and protects information personal to identified or identifiable natural persons (herein “Personal Data”) that SendBoard obtains through:
the Email for Trello Power-Up (herein the “Email for Trello Power-Up”) and your use of the Email for Trello Power-Up;
your Email for Trello account, which is created when you authorize Email for Trello in Trello;
information that you provide to us as a User (prospective and current);
your use of SendBoard services, including services provided by way of the SendBoard website, your Email for Trello account, the Email for Trello Power-Up, SendBoard maintenance and support services and the services of Sub-processors (herein the "Services");
your interaction with us through third-party websites, services and Sub-processors — in providing the Services, SendBoard is assisted by SendBoard affiliates and third-party service providers, including social networking service providers and Internet service providers (herein “Sub-processors”), which are engaged, among other things, in the provision of the Services as well as the support, servicing, maintenance, operation and development of Email for Trello and the Services; and
your use of the SendBoard website (SendBoard.com), Email for Trello, the Email for Trello Power-Up and the Services, which confirms your agreement with the terms and conditions of this Privacy Policy.
In addition, you have registered as a User of Email for Trello and the Email for Trello Power-Up through the “Add the Power-Up” process, which is an online Email for Trello User registration process, in which you agree to the SendBoard Terms of Service which incorporate this Privacy Policy by reference.
SendBoard concludes this agreement with you and provides you with use of Email for Trello, the Email for Trello Power-Up and the Services, on the understanding that you will not access or make use of Email for Trello or the Services or give us your Personal Data If you disagree with any part of this Privacy Policy.
Third parties
Access and use of Email for Trello and the Services with the assistance of a third party might create a tacit or express contractual relationship with the third party — this could happen, for instance, if you access Email for Trello at the invitation of the owner or creator of a Trello board, if you access Email for Trello with the assistance of a team leader or if you access Email for Trello by arrangement with an organisation such as a company that has an enterprise-level agreement concerning the use of Trello, for example a Trello Enterprise or Business Class account. Regardless of any such third party contractual arrangement, SendBoard concludes the agreement constituted by this Privacy Policy with you on the understanding that, in respect of the subject matter of this Privacy Policy, SendBoard will be bound by the terms and conditions of this Privacy Policy only, which is and remains personal to you, your User account and your use of Email for Trello and the Services.
Privacy laws
CCPA | For Users who might be subject to the CCPA (California Consumer Privacy Act of 2018), please review the Supplemental Privacy Policy which appears at the end of, and forms an integral part of this Privacy Policy.
GDPR | This Privacy Policy has been prepared in accordance with the General Data Protection Regulation 2016/679 (GDPR), a regulation of European law on data protection and privacy for individuals and, to the extent of their similarity with the GDPR, with similar legislation in countries outside of Europe, such as the UK Data Protection Act, 2018, U.S. Privacy Shield Framework legislation (without certification to the U.S. Department of Commerce) and the South African Protection of Personal Information Act, No. 4 of 2013 (POPI).
User rights under these privacy laws include:
Right to be Informed — this is your right to transparency, to receive the information necessary to allow you to exercise your rights to the protection of your Personal Data. The necessary information is set out in this Privacy Policy.
Right of Access — this includes your right to access the Personal Data we gather about you and your right to obtain information about the sharing, storage, security and processing of that information.
Right to Correction — this is your right to request correction of your Personal Data.
Right to Erasure — this is your right to request, subject to certain limitations, that your Personal Data be erased from our possession (also known as the “Right to be forgotten”). Our fulfilment of a request to delete your information might affect your use of Email for Trello or prevent you from using SendBoard services and may result in the closure of your account.
Right to Complain — you have the right to make a complaint regarding our handling of your Personal Data with the appropriate supervisory authority.
Right to Restrict Processing — this is your right to request restriction of how and why your Personal Data is used or processed.
Right to Object — this is your right, in certain situations, to object to how or why your Personal Data is processed.
Right to Portability — this is your right to receive the Personal Data we have about you and the right to transmit it to another party.
Right to not be subject to automated decision-making — this is your right to object to (and prevent) any decision that could have a legal or similarly significant effect on you from being made solely in accordance with an automated process. This right is limited, however, if the decision is necessary for performance of any contract between you and us, or is allowed by applicable law, or is based on your explicit consent.

If you are at all concerned that this Privacy Policy is in any way incompatible with privacy laws in your country or the country from which you access Email for Trello and the Services, you must notify SendBoard in writing by email sent to hello@sendboard.com, providing sufficient detail to enable SendBoard to assess and rectify (if necessary), the suspected incompatibility.
Voluntary submission of Personal Data
SendBoard does not assume any responsibility to check or correlate the Personal Data you supply to us and, instead, provides you with every opportunity to access and ensure the correctness of your Personal Data. For this reason, you are responsible for ensuring the accuracy of all Personal Data we have about you.
Identity and access
When you sign up for Email for Trello, we may ask for your name, company name, and email address. This is to enable you to personalize your account, for us to communicate with you and to enable us to send you updates and other essential information.
When you make any payment to or through Email for Trello, we ask for your credit card and billing address to enable us to charge you for the Services, calculate taxes due and send you invoices. For purposes of such payment, SendBoard does not receive nor store complete credit card information. Instead, we make use of a payment Sub-processor, (currently Stripe and, in particular the Stripe Payments service). Stripe commits to complying with the Payment Card Industry Data Security Standard (PCI-DSS) and the use of industry standard security. Stripe may use your Payment Information in accordance with the Stripe Privacy Policy.
We will not sell your personal Data and we will not use your name or company name in Email for Trello and SendBoard marketing material without your permission.
When you write to SendBoard with a question or to ask for help, we will keep that correspondence and the sending email address for future reference. When you browse our marketing pages, we will track that for statistical purposes (like conversion rates and to test new designs). We also store any information you volunteer, for instance in surveys, for as long as is reasonably necessary.
Email for Trello and Trello
The Services include Trello Power-Up services, for which we require and make use of API access to your Trello account.
Even though Trello content such as card titles, descriptions, comments and linked files are available to us through this API, we do not save this data to our servers, except for the identifiers necessary to link SendBoard email messages to Trello cards.
The content of the emails that you send and receive using Email for Trello are saved on our servers.
To ensure that the contents of emails that you send and receive using Email for Trello are visible and easily available within Trello, email text and email attachments are also saved as Trello card comments and card attachments. This content will be saved on Trello servers and shall be governed exclusively by Trello Privacy Policies.
Email for Trello allows Users to deal with their email directly in Trello — to receive and reply to email and to collaborate with other Users using email. In the process, User content originally processed in User email client applications and server computers is processed/pre-processed/re-processed as part of the Services. Such content might include the contents of emails, Users’ contact details and the names and contact details of Users’ contacts. This Privacy Policy is applicable to the User content processed by SendBoard as part of the Services, but it is and shall not be applicable to User content that is processed and stored externally of the Email for Trello environment, for instance in a User’s email client application and/or email server computer.
Information collection generally
We collect information about you when you use the Services, including browsing our websites and taking certain actions in relation to the Services. Your agreement to this Privacy Policy (including agreement implied by your use of Email for Trello and the Services) amounts to your agreement and consent to such collection and particularly the collection of the information detailed below. In all cases, we attempt to limit the amount of Personal Data we collect and store.
We collect contact and business information as well as other details of your engagement with Email for Trello and use it to provide, improve, and develop Email for Trello and the Services and to provide you support when you need it. We also may use the Personal Data to communicate with you, for example, about your account, security updates and product information.
In some instances, we may combine one type of information with another, and store them together in our records. We also may use aggregated security data to protect our customers and the broader internet from threats.
We keep track of certain usage information about you when you visit and interact with any of the Services. This information includes the features you use and when you use them. Learning about how you interact with the Services helps us to improve the Services over time.
We collect information about your computer, phone, tablet, or other devices you use to access the Services. This device information includes your connection type and settings when you install, access, update, or use the Services. We also collect information through your device about your operating system, browser type, IP address, URLs of referring/exit pages, device identifiers, and crash data. We use your IP address and/or country preference in order to approximate your location to provide you with a better Service experience. How much of this information we collect depends on the type and settings of the device you use to access Email for Trello and the Services.
Reasons for collecting Personal Data
The following are reasons why we collect your Personal Data:
to identify you properly and to personalize your User experience;
to process your instructions or requests — to make your use of Email for Trello as successful and effective as possible, it is necessary for us to find out exactly what you require from us and Email for Trello;
to ensure that we meet your requirements — we may collect and analyze your Personal Data and combine all the information that we have about you to compile a profile of you in order for us to personalize and tailor our services to meet your specific requirements;
to improve the functionality and operation of Email for Trello — we may use Personal Data in the aggregate (anonymised/de-identified and aggregated to prevent personal identification), for instance to gain insight into the manner in which Users use Email for Trello and the Services;
to improve Email for Trello and the Services — we carry out research on Email for Trello Users and Users’ use of Email for Trello with a view to improving the Email for Trello offerings based on the information and feedback we receive from you — your information helps us to respond more effectively to your service requests and support needs.
We may also collect non-personal identification information about Users whenever they interact with Email for Trello, including the browser name, the type of computer and technical information about the User’s means of connection to Email for Trello, such as the operating system and the Internet service provider Sub-processors used in the process.
Sharing of Personal Data
This Privacy Policy entitles SendBoard to share Personal Data as follows:
in the manner determined in this Privacy Policy and as may be necessary to provide the Services;
to assist in investigating, preventing or taking action in respect of unlawful or illegal activity, suspected fraud, corruption, a security breach or disruption of any of the Services or Email for Trello, situations involving potential threats to the physical safety of any person, violations of the SendBoard Terms of Service or as otherwise required by law.
We do not share Personal Data, except as expressly provided in this Privacy Statement.
We share your Personal Data with the following recipients for the following reasons (some of these third parties and reasons may not be applicable to you):
reseller partner Sub-processors to allow them to provide marketing information on our behalf;
third party service provider Sub-processors that assist us with website hosting and maintenance; sending communications; updating marketing lists and database management; analyzing data; and the provision of the SendBoard website and marketing of the Services — these Sub-processors will only use your Personal Data to the extent necessary to perform their functions and are subject to contractual obligations to maintain the security and confidentiality of all information they process.
SendBoard will be entitled to analyze Personal Data, but then only in aggregated form (in a form that does not identify you personally). For purposes of such analysis, we may share this aggregated data with Sub-processors including our affiliates, current and prospective business partners and third-party service providers, but the aggregated data will not include Personal Data. We may also share this information with these parties for other lawful purposes.
SendBoard will be entitled to share, disclose, or provide your Personal Data to third parties when attempting to collect a payment or debt; when required to combat fraud or to protect our interests; and/or to enforce the privacy of Private Data, the SendBoard Terms of Service or any terms of service or end user license agreement of SendBoard.
In the event of a corporate sale, reorganization, dissolution or the sale of all or part of the SendBoard business or SendBoard assets, it is possible that Personal Data might be included in the assets involved in the transaction. If appropriate in any such event, the agreement constituted by this Privacy Policy will be transferred as part of the transaction and the successor in title to SendBoard (if any) will be bound by the terms and conditions of this Privacy Policy. Alternatively, the SendBoard successor in title might require SendBoard Users to agree to a different privacy policy. We will notify you before your Personal Data is transferred or might possibly become subject to a different privacy policy, to enable you to deal with your Personal Data as you deem appropriate at the time.
The Personal Data that we collect from you might be transferred to, stored and processed by Sub-processors. By submitting your Personal Data, you agree to such transfer, storage or processing.
We will take all steps reasonably necessary to ensure that Sub-processors treat your Personal Data in accordance with this Privacy Policy. In this regard, each Sub-processor receiving your Personal Data is contractually bound to comply with the GDPR or equivalent privacy laws.
Personal Data may be used internally within SendBoard and may be shared with advertisers, but then only as generic, aggregated and anonymised/de-identified information not linked to any readily identifiable person.
From time to time, User testimonials or other accolades are received that are capable of being published to the general public. Unless the User specifically prohibits such publication, the User, by forwarding any such testimonial or accolades to SendBoard, gives SendBoard express consent to publish such testimonials and accolades.
We will not, without your prior consent, sell, rent or provide your Personal Data, for independent use, to persons not associated with SendBoard.
If at any time you wish to withdraw the consents and approvals given in this Privacy Policy and to remove your Personal Data from all computers and data stores associated with SendBoard, you may do so on written notice to SendBoard, sent by email to hello@sendboard.com.
Protection of your Personal Data
Users access Email for Trello through their existing Trello account. You are responsible for maintaining the secrecy and confidentiality of your Trello Username, password and access tokens.
We take all reasonable steps to protect your Personal Data from loss, misuse or unauthorized alteration.
We use appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure, loss or destruction of your Personal Data.
These technical and organizational measures are periodically reviewed and enhanced as necessary, in the course of which authorized personnel (and only authorized personnel) might obtain access to Personal Data.
While we use all reasonable efforts to prevent the loss or misuse of your Personal Data, we cannot guarantee the security of any Personal Data or that Personal Data will not be intercepted while being transmitted to and from Email for Trello over the Internet. Therefore, you acknowledge and agree that SendBoard neither accepts nor assumes any risk or liability in respect of theft, loss, alteration, or misuse of Personal Data, including, without limitation, Personal Data that has been provided to third parties or other users in accordance with the terms of this Privacy Policy, or the failure of a third party to abide by the agreement between SendBoard and the third party.
Correction and removal of Personal Data
If your Email for Trello account remains inactive (no access, no use) for longer than 6 (six) months, whether you decide to stop using Email for Trello or you simply no longer use Email for Trello and whether for reasons of non-payment of User fees or for any other reason, SendBoard will be entitled, but not obliged, to remove your Personal Data from Email for Trello if you have not already done so.
In the event of the discontinuation of the Services, we shall, within 90 (ninety)days of your account being canceled, or within 30 (thirty)days of the date of a written request to delete your Personal Data: delete your Personal Data associated with the discontinued Services; and procure that our Sub-processors who are in possession of any such Personal Data, delete all such Personal Data;
Cross-border data transfer
SendBoard is based in Europe and your Personal Data is collected, stored, used and shared in accordance with the European GDPR. However, from time to time, it may be necessary for us to transfer your Personal Data to another country in which the privacy laws may not be equivalent to the laws in Europe or the country from which you use and access Email for Trello and the Services. By using Email for Trello you consent to the transfer to and the storage and processing of your Personal Data in a country outside of Europe in accordance with this Privacy Policy and applicable law.
Personal Data disclosed to a third party
In providing the Services, SendBoard is assisted by SendBoard affiliates and third-party service providers (“Sub-processors”), which are engaged, among other things, in the provision of the Services as well as the support, servicing, maintenance, operation and development of Email for Trello and the Services. Where, in this Privacy Policy, an obligation is imposed on SendBoard, SendBoard will be entitled, in its entire discretion, to delegate any such obligation to a Sub-processor. All Sub-processors are under appropriate contractual obligations to ensure the safety and privacy of Users’ Personal Data, in terms of Data Processing Agreements in terms of which the processing of Personal Data transferred to a Sub-processor are governed in accordance with the privacy laws and in compliance with the provisions of this Privacy Policy. Since SendBoard is a Trello Power-Up, Personal Data is exchanged between SendBoard and Trello as a third party.
In the event that you make use of Email for Trello and the Services with the assistance or agency of an organization, such as your employer or a Trello team (a third party or parties), such use might result in the exchange of Personal Data with such a third party or parties. SendBoard shall have no responsibility or liability for the privacy or security policies and practices of such a third party or parties. If you have any concerns around the manner in which such a third party or parties might gain access to or exercise any form of control over your personal Data, your account or your use of Email for Trello or the Services, you must contact the third party or parties concerned.
We do not exercise control over the privacy policies of Trello, Sub-processors or any third party or parties with whom you exchange Personal Data and SendBoard shall have no responsibility or liability for the privacy or security policies and practices of Trello, any Sub-processor or any third party or parties with whom you exchange Personal Data. Refer to the privacy policy of these entities if necessary.
Cookies
SendBoard and our third-party partners, such as Sub-processors, advertising and analytics partners, use marketing attribution technologies (cookies and other user tracking technologies, including web beacons, device identifiers and pixel tags) to provide functionality and to recognise you across different Internet services and devices. Many websites use cookies — you can find out more about cookies at http://www.allaboutcookies.org/.
You agree that SendBoard is permitted to send cookies to your computer unless you, by choice, set your web browser to refuse cookies or to alert you when cookies are being sent. If you do, some parts of SendBoard may not function properly.
The email addresses provided by Users may be used to send information and updates pertaining to Email for Trello. It may also be used to respond to User inquiries and other requests or questions.
If you “opt-in” to our mailing list, you will receive an email that may include news, updates, related product or service information. If at any time you would like to unsubscribe from receiving future emails, we include unsubscribe instructions at the bottom of each email.
We may send you promotional information we think may be of interest to you. If any of this promotional information relates to products, promotions, news or services of a Sub-processor you are interested in and if you indicate that you would like more details, we may inform the Sub-processor party to contact you directly. By accepting this Privacy Policy, you consent to being contacted by any relevant Sub-processors directly.
Information storage and security
SendBoard uses every reasonable endeavour to ensure that data and information stored by and supplied through Email for Trello are secure, current and accurate.
SendBoard will not hand your Personal Data over to a law enforcement agency unless it is compelled to do so by order of a court of competent jurisdiction. And unless we are legally prevented from doing so, we make every effort to inform you when any such order comes to our attention.
We use data hosting service provider Sub-processors in the European Union to host the information we collect, and we use technical measures to secure your Personal Data. All Personal Data is encrypted via SSL/TLS when transmitted from our servers to your browser. Our database backups are also encrypted.
While we implement safeguards designed to protect your information, no security system is impenetrable and, due to the inherent nature of the Internet, we cannot guarantee that Personal Data, during transmission through the Internet or while stored on our systems or otherwise in our care, is absolutely safe from intrusion by others. We will respond to requests about this within a reasonable timeframe.
How long we keep information we collect about you depends on the type of information, as described in further detail below. After such time, we will either delete or anonymise your information or, if this is not possible (for example, because the information has been stored in backup archives), then we will securely store your information and isolate it from any further use until deletion is possible.
Account information
We retain your account information until you delete your account. We also retain some of your information as necessary to comply with our legal obligations, to resolve disputes, to enforce our agreements, to support business operations and to continue to develop and improve the Services. Where we retain information for Service improvement and development, we take steps to eliminate information that directly identifies you, and we only use the information to uncover collective insights about the use of the Services, not to specifically analyze personal characteristics about you.
Information you share on the Services
If your account is deactivated or disabled, some of your information and the content you have provided will remain in order to allow your team members or other users to make full use of the Services. For example, we continue to display emails and attachments you sent using the Service.
Marketing information
If you have elected to receive marketing emails from us, we retain information about your marketing preferences unless you specifically ask us to delete such information. We retain information derived from cookies and other tracking technologies for a reasonable period of time from the date such information was created.
Disclaimer
Subject to the provisions of this privacy Policy, SendBoard provides the Services and the data and information therein as is and without any warranties either express or implied, including any implied warranties of correctness or currentness of information, merchantability, non-infringement of third party rights, freedom from viruses or harmful code or fitness for a particular purpose and neither SendBoard nor any of its representatives, including Sub-processors, which shall include information provider-, supplier-, telecommunications- or internet service provider Sub-processors and including officers, employees and agents of SendBoard shall be liable to the User or any person claiming through the User for any direct, indirect, incidental, special, or consequential damages arising out of the use of Email for Trello. Notwithstanding anything contained in this Privacy Policy, Users use Email for Trello and the Services on the understanding that, even with the use of the highest industry-standard security measures, the Internet is not a secure medium and privacy cannot be ensured and, whilst SendBoard makes every effort to protect User information and Personal Data, it is appreciated and understood it is nevertheless possible that Users’ Personal Data might be accessed without authorisation.
Children
Neither SendBoard nor the Services are directed at children. SendBoard does not knowingly accept online Personal Data from children under the age of 18.
If you are under 18 or otherwise would be required to have parent or guardian consent to share Personal Data with SendBoard, you must ensure that you obtain the necessary parent or guardian consent before you share Personal Data with SendBoard. Alternatively, you must not send any information about yourself to Email for Trello or SendBoard.
Further information, complaints, changes & questions
If you require any additional information or if you are at all concerned that this Privacy Policy is in any way incompatible with privacy laws in your country or the country from which you access Email for Trello and the Services, you are welcome to contact SendBoard by email sent to hello@sendboard.com, providing sufficient detail to enable SendBoard to address your concerns or requests.
SendBoard commits to resolve complaints about our collection or use of your personal Data. If you have any such complaints, please contact SendBoard — contact details below. This is without prejudice to your right to file a claim with a supervisory authority.
SendBoard may, in its entire discretion, update this Privacy Policy at any time — we will notify you about significant changes by emailing User account owners or by placing a prominent notice on the SendBoard website.

Supplemental Privacy Statement for California Users
California Consumer Privacy Act of 2018 (“CCPA”).
Introduction
Certain of the User rights outlined above have been amended by the California Consumer Privacy Act of 2018 (“CCPA”) and the rights of California Users shall be as set out in this Supplemental Privacy Statement, which explains the rights that California Users have under the CCPA.
In this Supplemental Privacy Statement, the term “personal information” is used as defined in the CCPA — information that identifies, relates to, describes, is capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular consumer (for instance you, the User), excluding publicly available, deidentified, or aggregated consumer information as well as personal information obtained from business owners, job applicants or employees — this has the effect of excluding Users who gain access to and use Email for Trello and the Services with the assistance or agency of a third party (for instance your employer) which has concluded an agreement with SendBoard concerning the use of Email for Trello and the Services.
Your privacy under the CCPA
If you are a resident of California and you are not a job applicant, employee or contractor who gains access to and uses Email for Trello and the Services with the assistance or agency of a third party which has concluded an agreement with SendBoard in your job role:
you have the right to request the information about you that SendBoard collects, uses and discloses;
you have the right to request that we delete your information; and
you have certain rights regarding the sale of personal information — SendBoard does not sell your personal information and we support the CCPA by allowing California Users to ensure that their preferences in respect of the sale of their personal information are recorded against their account/profile — to do this please contact SendBoard — see the SendBoard contact details in the section: Further information, complaints, changes & questions.
SendBoard will not discriminate against you because you have exercised any of your privacy rights under the CCPA.
Categories and sources of information|purpose for collecting| sharing and sale of information
Where we act as a “business” under the CCPA (meaning we determine the manner of and reasons why we process your personal information), we may be required to disclose information regarding the categories of personal information we collect, the sources we obtain that information from, the purposes we collect that information for, who we share that information with, as well as whether we sell that personal information.
